Conference Calls

Before Your Meeting

The conference center does not reserve the video or phone conferencing services for your meeting. This should be reserved in advance using a 3rd party service such as UberConference, Zoom, GoToMeeting, or a preferred provider your company already uses.

If you plan to have a video or phone conference you may add this to the notes when booking your room reservation.

We also recommend you start your video conference at least 15 minutes prior to the attendee scheduled start time to test and troubleshoot in advance. Please arrive 30 minutes early to set up and test the conference.

Video Conferencing

From the Boardroom

If you are hosting a video conference where you need external participants to be able to see those participants sitting in the Boardroom, you would need to select USB from the main menu. Then plug in your laptop using the USB cable. The video camera in the room can be manually adjusted once the system is booted up.

From the Forums

If you are hosting a video conference where you need external participants to be able to see those participants sitting in the Forum, you would need to select Room Floorbox from the Presentation menu. Then plug in your laptop using the USB cable. The video camera in the room can be manually adjusted once the system is booted up.

Underneath the 2nd row is a round silver plate on the floor. Open this to access the HDMI and USB cables.

USB cable will access the ceiling microphone and webcam above the flatscreen. Use this only if you plan to use the room’s video-conferencing camera to point to the participants in the room.

Plug these into your laptop. If you have a Mac and need an HDMI to Mini Display Port, this is found inside the room’s cabinets. Please return this to the box and cabinet when you are done.

How to make a Call from the Boardrooms

If you are making a conference call in Boardrooms A or B you will use the touch screen located on the table to do this.

The first option (and recommended if you are not hosting a video conference) is using the Audio function to make a call. Click the left Audio button.

On the next screen you will type in that number. You do not have to dial 9 or +1 for long distance calls. Just begin with the area code.If you are making international calls you will need to dial 011 + country and city code + the number.

To mute, just tap on the top of the main device.

How to make a Call in the Forums

Select Phone Presentation on wall control panel

Dial number and press Dial /Answer.

Note that there is no indication of ringing or accepting button.
